Configuring the Telegram customer service translator for the first time: default language, two-way switch and test session checklist
Cross-border customer service personnel face multilingual inquiries every day. The user asks about logistics in Thai, and the customer responds with product parameters in English—if the two parties can only switch back and forth by copying and pasting into Google Translate, it may take 30 seconds to understand a simple message. What’s worse is that once the translation is missed or wrong, the customer experience will be directly compromised.
TG-Staff’s automatic translation function is designed to solve this scenario. This article will take you through the complete process of configuring customer service translation for the first time: from selecting the default language, turning on the two-way translation switch, to using a test session to verify the translation effect. By following this checklist, your team can equip Telegram Bot agents with real-time multilingual communication capabilities in under 10 minutes.
Why does Telegram customer service need automatic translation?
The cross-border customer service process without automatic translation usually looks like this:
- The user sends a Thai message to the Bot
- After the agent sees it, manually copy it to the translation tool
- After translation into English, the agent understands and writes an English reply by hand
- The agent then copies the English reply to the translation tool and converts it into Thai.
- Paste the Thai reply back to Telegram
This process takes 60–90 seconds on average, not counting translation quality checks. If there are 50 cross-language conversations in a day, it can take an agent an hour or two just to translate.
Typical language dilemmas of cross-border customer service
- Southeast Asian users: Thai, Vietnamese, Indonesian, small language translation tool support is incomplete
- European users: French, German, Spanish, although the coverage is wide, the agent may not understand it
- Middle East users: Arabic (written from right to left), dual challenges of interface compatibility and translation accuracy
- Mixed Language Conversation: The user switches languages in the same session, and the agent needs to follow up in real time
The lag of manual translation not only reduces response efficiency, but also easily leads to misunderstandings - especially when it comes to prices, addresses, and technical parameters. A translation error may cause order disputes.
What can TG-Staff automatic translation solve?
TG-Staff embeds the translation process into every aspect of message sending and receiving:
- User Message → Agent: Any language sent by the user will be automatically translated by the agent to the preset default language (such as English or Chinese)
- Agent Reply → User: The agent enters a reply in the default language, and the system automatically translates it into the language used by the user. What the user sees is the native language reply.
The entire process is completely transparent to users. Users don’t see a “Translated” label or additional prompts, they just feel: This customer service team actually speaks my language.
Preparation before starting: Confirm package and translation quota
Before entering the console, confirm two things:
- Does the package include translation function: The standard version includes AI translation; the professional version additionally supports Google professional translation and DeepL professional translation. The translation feature is also available during the free trial period.
- Is the translation quota sufficient: Translation is calculated by the number of characters, and different packages have daily quota limits. After the quota is used up, messages will no longer be automatically translated and agents will need to process them manually.
Log in to the [TG-Staff Console] (https://app.tg-staff.com/) and view the current package and remaining translation quota on the “My Subscription” page.
Tips on translation quotas
Translation quotas are reset daily by package. The standard version of AI translation has a daily quota limit, and the professional version has a more sufficient translation quota. If you need high-frequency translation, it is recommended to upgrade your package in advance or check Documentation for quota details.
Step one: Enter the project settings and find the translation configuration entry
The translation configuration is located in the specific Bot project with the following path:
- Log in app.tg-staff.com
- Select the Bot project you want to configure in the left menu
- Enter “Project Settings” or “Settings”
- Find the “Translate” or “Auto-Translate” tab
If you have multiple Bots in your project list, please note that each project has its own translation engine and default language configured independently. Different projects have different user groups (for example, one for the European market and one for Southeast Asia) and can be set separately.
Step 2: Configure default language and translation direction
Select default language: Why is it recommended to set it to English?
The default language is the language in which messages are displayed on the agent interface, and is also the “target language” baseline for translation. For example:
- The default language is set to English: the user sends Chinese → the agent sees English; the agent replies in English → the user sees Chinese
- The default language is set to Simplified Chinese: the user sends Thai → the agent sees Chinese; the agent replies in Chinese → the user sees Thai
Selection Suggestions:
| Team situation | Recommended default language | Reason |
|---|---|---|
| Agents generally have good English proficiency | English | Covers most languages in the world, and the translation quality is the most stable |
| Agents are mainly native Chinese speakers | Simplified Chinese | Agents have the highest reading efficiency and reduce the cost of secondary understanding |
| Agents from multiple countries | English | Unify team communication language to avoid confusion |
Enable two-way translation: let both parties understand
The translation configuration interface has two independent switches:
- Translate user messages: Messages sent by users are automatically translated into the default language and displayed on the agent side
- Translate agent reply: The message sent by the agent is automatically translated into the language used by the user and displayed on the user terminal
Bidirectional translation = both switches on. This is the recommended configuration for most scenarios.
If you only need the agent to understand what the user says and do not need to translate the reply (for example, the reply content is fixed in English), you can just turn on “Translate user messages”. However, in cross-border customer service scenarios, it is recommended to turn on both switches so that users can receive responses in their native language to improve the experience.
Step 3: Select translation engine (AI/Google/DeepL)
Depending on the package, the optional translation engines vary:
| Package | Optional translation engine | Applicable scenarios |
|---|---|---|
| Standard version | AI translation | Daily customer service, cost-sensitive, average translation accuracy requirements |
| Professional Edition | AI Translation + Google Professional Translation + DeepL Professional Translation | High-precision requirements, specific language optimization |
Engine Selection Suggestions:
- DeepL Professional Translation: Excellent in French, German, Spanish, Italian and other European languages, suitable for teams that mainly serve the European market
- Google Professional Translation: Covers the most languages (130+), suitable for multilingual users around the world, with stable translation quality in Chinese, Japanese and Korean
- AI translation: lower cost, suitable for high-frequency and low-sensitivity scenarios (such as simple greetings, responses to frequently asked questions), but professional terms or complex sentence patterns may not be as good as professional engines
Engine selection suggestions
If it mainly serves European users (France, Germany, and Spain), it is recommended to choose DeepL for the professional version; if it serves global multilingual users, Google Professional Translate is more balanced. AI translation is suitable for cost-sensitive and undemanding scenarios.
Step 4: Save settings and create a test session
After the configuration is completed, click Save. Then immediately create a test session to verify the effect.
Test steps:
- Open your Bot via offloading link or directly in Telegram
- Send a message in a non-default language (for example, if the default language is English, send a Chinese message “Hello, may I know the delivery time?”)
- Return to the TG-Staff agent interface and view the session
- Confirm that the message displayed on the agent side has been translated into English: “Hello, may I ask the delivery time?”
- Reply in English: “It will be shipped within 24 hours.”
- Return to Telegram on the user terminal and check whether the reply has been translated into Chinese: “Will be shipped within 24 hours.”
Test checklist (can be copied and used)
- User messages are translated correctly: Does the translated content retain the original meaning?
- Agent replies translated correctly: Did the client receive the reply in its native language?
- Is the translation delay acceptable: more than 2 seconds from sending to displaying the translation result?
- Engine switching effect comparison: If you use the professional version, is there any obvious difference in the translation quality of the same paragraph after switching to different engines?
- Is quota consumption normal: After sending a test message, is the quota count in the console updated correctly?
Common configuration errors and corrections
| Error symptoms | Causes | Solutions |
|---|---|---|
| The user messages seen by the agent are still in the original text | ”Translate user messages” is not turned on | Check the switch to make sure it is enabled |
| The client receives the original reply from the agent | ”Translate agent reply” is not turned on | Check the switch to make sure it is enabled |
| The agent sees confusing content after translation | The default language setting is wrong | Confirm that the default language is consistent with the language used by the agent team |
| Translation stopped suddenly and the original text was displayed | Translation quota has been exhausted | Check quota usage and wait for reset or package upgrade the next day |
| Poor translation quality in a specific language | The translation engine is not suitable for the language | Try switching engines (Pro version) or contact support |
Step 5: Team multi-language collaboration and subsequent optimization
The translation configuration takes effect for all agents in the project. In other words, as long as the project-level translation settings are correct, any agent in the team will automatically use the same set of rules after logging in.
Notes on multi-seat scenarios:
- All user messages seen by agents are translated versions, and agent replies seen by users are also translated versions.
- If an agent needs to see the original text (for example, if he is responsible for reviewing translation quality), turning off translation for a single agent is currently not supported. It is recommended to use the test Bot project for comparison
- Professional version users can combine the content risk control function to monitor whether the translated message contains sensitive words or specific wallet addresses to ensure compliance
Following tuning directions:
- Adjust the default language or translation engine according to the language distribution consulted by users
- If you find that the translation quality of a certain language is unstable, you can provide feedback to TG-Staff or switch to a backup engine
- Regularly check quota usage trends to avoid mid-month depletion affecting customer service efficiency
FAQ
**Q: Does the translation function support all languages? **
Answer: Supported. TG-Staff’s AI translation, Google professional translation and DeepL professional translation all cover common languages (Chinese, English, Japanese, Korean, French, German, Spanish, Portuguese, Arabic, etc.). For the specific language list, please refer to Document.
**Q: After turning on two-way translation, will users see translation prompts? **
Answer: No. What the user side sees is always the original language version of the agent’s reply. The translation process is transparent to the user. The user message and reply input box seen by the agent side have been automatically converted.
**Q: What should I do if the translation quota is used up? **
Answer: The translation quota is reset daily based on the package. If the quota is exhausted for the day, messages will no longer be automatically translated and agents will need to process them manually. It is recommended to monitor quota usage or upgrade to the professional version to obtain a higher quota.
**Q: Can I set up different translation engines for different projects? **
Answer: Yes. Each Bot project can independently configure the translation engine and default language to facilitate flexible adjustment according to the project user group (such as the European market vs. the Southeast Asian market).
**Q: After configuring translation, will the messages in historical conversations be re-translated? **
Answer: No. The translation settings only take effect on new messages generated after the configuration takes effect, and historical conversation content will not be reprocessed.
After the configuration is completed, your Telegram Bot customer service team already has real-time multi-language communication capabilities. If you encounter problems during the configuration process, you can directly contact @tgstaff_robot for help.
