Why Do You Need a Structured Onboarding Checklist?

Prerequisites: Registration and Plan Selection

Open https://app.tg-staff.com/ to register an account. Email registration is recommended for easier password recovery later.

After successful registration, the console will guide you to the “My Subscription” page. Here you have two options:

Step 1: Bind Your First Telegram Bot

In the console, select “Projects” from the left menu and click “New Project”. You will need to provide the Bot Token.

How to Get Token from BotFather Correctly

  1. Search for @BotFather in Telegram and start a chat.
  2. Send the /newbot command, then follow the prompts to set the Bot name and username (the username must end with bot).
  3. After creation, BotFather will return a token like 123456:ABC-DEF1234ghIkl-zyx57W2v1u123ew11.
  4. Copy and save it immediately. If you close the dialog, send /mybots → select your Bot → “API Token” to view it again.

Complete Binding and Verification in TG-Staff Console

  1. In the TG-Staff new project page, paste the token into the “Bot Token” input field.
  2. Click “Save”. The system will automatically verify the token validity and pull the Bot name, avatar, and other info.
  3. After verification, the project list will display your Bot name and status (green dot means online).

Warning: Token Leak Risk

Never share Bot Tokens in public channels (e.g., GitHub, chat logs). If leaked, immediately reset the Token in BotFather and update it in TG-Staff.

Step 2: Configure Session Routing and Agent Permissions

After the bot is bound successfully, the next step is to allow agents to receive user messages. The core of this step is session routing.

Add Agents and Assign Bot Project Permissions

  1. In the console left menu, select AgentsAdd Agent.
  2. Enter the agent’s email and name. The system will send an invitation email (including login password).
  3. After the agent logs in for the first time, they can optionally bind a Telegram account to receive notifications.
  4. Go back to Projects → select your bot project → Project SettingsCustomer Service Scope.
  5. Choose All Agents or Specific Agents. For Day 1, it is recommended to select All Agents to simplify testing.

Choose Routing Rules: Round Robin vs. Online First

TG-Staff provides two routing rules:

Day 1 recommendation: Start with Round Robin. It is easiest to test—when you send a message, the system assigns it in order of the agent list, avoiding situations where “Online First” fails to assign because no one is online.

Diversion Links (officially called Diversion Links, also known as magic links) are TG-Staff’s traffic-driving tool. They are short links (e.g., https://app.tg-staff.com/{code}) that, when clicked, redirect users to your bot while capturing the visitor’s IP, browser information, and URL parameters.

Creation Steps

  1. In the console, go to Projects → select your bot → Diversion LinksCreate Link.
  2. Set a link name (e.g., “Google Ads 2025 Q1”) and an optional custom Code.
  3. After saving, copy the generated short link.
  4. Embed the link in ad landing pages, social media bios, or email signatures.

User clicks diversion link → redirects to bot → bot automatically sends a welcome message → agent joins the conversation. This complete chain covers traffic attraction, reception, and conversion.

Best Practices: Magic Link + Bot Auto-Reply

Place the diversion link in Facebook/Google ads or Twitter bio. When users click, they directly enter a Bot conversation and are then taken over by an agent, forming a complete funnel of traffic acquisition, reception, and conversion.

Step 4: Send Your First Bulk Broadcast

Broadcasting is a standard operation for engagement. Day1 recommends sending a welcome message (e.g., “Thanks for following, reply ‘help’ to see the service guide”) rather than promotional or intrusive content.

Create User Segments: Based on Tags or Interaction Behavior

  1. In the console, go to “User Management” → “User Segments” → “Create Segment”.
  2. Select segment conditions: all users, users with tags, users active in the last 7 days, etc.
  3. Save the segment. Day1 recommends starting with “All Users” to test if the broadcast channel is functioning.

Configure Message Content and Delivery Strategy

  1. Go to “Broadcast Messages” → “New Broadcast”.
  2. Select the target segment.
  3. Edit the message content: supports text, images, buttons (Inline Keyboard).
  4. Set send time: send immediately or schedule.
  5. Before clicking “Send”, it is recommended to “Preview” to check the format.

Frequency Control: TG-Staff does not impose hard limits, but Telegram has anti-spam mechanisms. Day1 recommends sending only 1 message, and adjusting based on user feedback.

Step 5: Verification and Optimization — Your Day1 Checklist

After completing the above 4 steps, check each item:

  • Bot successfully bound: The project page in the console shows a green online status.
  • Agents can log in: Invited agents have logged into the console and can see the “Pending Conversations” list.
  • Split link accessible: Clicking the short link successfully redirects to the Bot and triggers an auto-reply.
  • Broadcast sent: Target users received the message, with no unsubscribes or complaints.
  • Auto-translation enabled (if needed): Enabled in project settings with translation direction selected.
  • Conversation test: Send a message to the Bot from another Telegram account, confirming the agent receives and responds.

If any step fails, check the corresponding settings: Is the Token valid? Is the split rule enabled? Is the agent online? Is the broadcast segment empty?

Q: I bound my Bot, but agents don’t receive user messages. What should I do?

A: First, make sure the Bot is “Started” — in BotFather, execute /setprivacy, select the Bot, then choose “Disable” to allow the Bot to receive all messages. Then in the TG-Staff console, check that the project’s customer service scope includes the agent and that the split rule is enabled. If using “Online First”, ensure at least one agent is online.

Q: Do split links (magic links) require payment?

Q: Will broadcast messages disturb users? Is there a frequency limit?

A: TG-Staff itself does not impose hard frequency limits, but Telegram has anti-spam mechanisms for bot broadcasts. It is recommended to send 1–2 messages per week to active users, and a welcome message to new users. The Pro plan supports precise targeting by segment to reduce disturbance.

Q: Can I bind multiple Bots?
